PartyCovered

How PartyCovered works

PartyCovered is a marketplace that connects people planning an event with local vendors — DJs, caterers, photographers, party rentals, entertainers, and more. Vendors list their services and prices; clients browse, message, and book them directly on the website or in the iOS app. PartyCovered handles the payment so both sides are protected.

What you get

  • A searchable directory of vendors by category and city, with photos, pricing, and reviews.
  • Built-in messaging to discuss details before and after booking.
  • Secure card payment processed by Stripe — PartyCovered never stores your card number.
  • A booking record for both parties with the date, price, and agreed terms.

Pricing and fees

Each vendor sets their own price, shown on their listing per hour or per event. When you book, PartyCovered adds a 7% service fee to the amount you pay. The total, including the fee, is shown before you confirm anything. There are no membership fees for clients, and vendors pay nothing to list.

For vendors: listing is free, with no membership or lead fees. PartyCovered only earns from vendors when they get paid: a 3% commission is taken from the deposit and the remaining balance before each is sent to you. Late-cancellation fees a client pays are yours in full, with no commission. Equipment damage claims are reviewed by PartyCovered; an approved claim can only be charged from a hold that's still on the client's card, and the full amount goes to you. Anything that can't be collected that way is owed to you by the client under the Equipment Rental Waiver. Your dashboard shows the amount you'll receive.

Example: a $1,000 booking

  • The client pays $1,070 — the $1,000 price plus the $70 service fee.
  • The vendor receives $970 — the $1,000 price minus the $30 commission.
  • PartyCovered keeps $100 in total, out of which it also pays the card processing costs.

Vendor payouts: before you can accept a request, you set up payouts and add a backup card. A deposit is then sent to your Stripe account (minus the commission) as soon as you accept. The remaining balance is sent after the event (see below). Money sent to your Stripe account becomes available to pay out once the client's card payment settles, usually about 2 business days later.

Instant payouts (optional): vendors can cash out eligible funds to a debit card within minutes instead of waiting for a standard payout. An instant payout has a fee of 1% of the amount cashed out, which covers the cost of the instant transfer. Standard payouts are free.

How payment works

  1. You send a booking request. Nothing is charged yet.
  2. When the vendor accepts, the listing's deposit (if it has one) is charged to your card. Deposits are shown on the listing and agreed to before you send the request.
  3. About 3 days before the event, the remaining balance (plus the service fee) is placed on hold on your card. It is only charged when the vendor checks in at your event.
  4. After the event, the vendor marks the booking completed. You can confirm it, or report a problem — a report holds the vendor's payout while PartyCovered reviews it. If you haven't confirmed or reported a problem within 2 days after the last date of the event, the vendor is paid automatically.
  5. Each amount charged to you for the booking includes the 7% service fee, and the vendor's deposit and remaining balance each have the 3% commission taken out before they're sent.

Cancellations and refunds

  • Deposits are non-refundable. They compensate the vendor for reserving your date.
  • If you cancel 7 or more days before the event, nothing beyond the deposit is charged, and any hold on your card is released.
  • If you cancel less than 7 days before the event, you also pay a late-cancellation fee of 10% of the booking price (the vendor's price, without the service fee). It's taken from the hold on your card, and the rest of the hold is released; if there's no hold on your card at the time, it's charged to your saved card when you cancel. Days are counted by calendar date in U.S. Eastern Time.
  • Once the vendor has checked in at your event, you can no longer cancel the booking.
  • If the vendor cancels, you receive a full refund of everything paid, including the deposit and the service fee.
  • Refunds go back to the original card and typically appear within 5–10 business days, depending on your bank.
